AI Use Statement
At AP Executive Solutions LLC (Executive Coaching with Alex Pearlman), I believe in thoughtfully embracing technology to enhance the coaching experience. This AI Use Statement explains how I use artificial intelligence tools in my practice, how I protect your information, and the choices available to you.
My Philosophy on AI in Coaching
I view AI as a powerful tool that enhances—never replaces—human judgment, intuition, and connection. AI helps me:
Spend more time on high-value coaching conversations and less on administrative tasks
Identify patterns and themes that might otherwise go unnoticed
Prepare more thoroughly for sessions
Create better resources and frameworks for clients
Deliver greater value within our time and resource constraints
I call this approach "hybrid intelligence"—the combination of human expertise and AI capabilities to serve you better.
How I Use AI in My Coaching Practice
Session Preparation and Analysis
I use AI tools (primarily Claude by Anthropic and Google Gemini) to:
Review session notes and prepare agendas
Analyze patterns and themes across our work together
Research relevant frameworks, strategies, or resources for your specific situation
Prepare thoughtful questions and coaching approaches
In-Session Collaboration
With your knowledge and consent, I may use AI tools during our coaching sessions to:
Explore ideas together in real-time
Generate frameworks or models collaboratively
Brainstorm solutions or strategies
Provide immediate access to relevant information or perspectives
Before using AI during any session, I will inform you and give you the opportunity to decline. You maintain full control over whether AI is used in this way.
Administrative and Content Creation
I use AI tools for:
Scheduling, follow-ups, and administrative tasks
Drafting emails and correspondence
Creating blog posts, articles, frameworks, and downloadable resources
Developing marketing materials and thought leadership content
When creating public content, I may draw on themes, patterns, and insights from coaching work. All client-specific information is anonymized before being processed by AI tools, and the final published content contains no identifying information without your explicit written consent.
Recording and Transcription
I use Fathom Video's AI-powered transcription service to record and transcribe coaching sessions (with your consent). This allows me to:
Focus fully on our conversation rather than note-taking
Review sessions for accuracy and deeper insights
Identify patterns over time
Ensure I follow through on commitments
Session recordings and transcripts are stored by Fathom Video in accordance with their privacy policy and security practices.
AI Tools I Use
I primarily use the following AI tools that may process information related to our coaching engagement:
Claude (Anthropic) – AI assistant for analysis, content creation, and in-session collaboration
Google Gemini – AI assistant for research and content development
Fathom Video – AI-powered meeting transcription and note-taking
Descript – Video editing and transcription
CoachUI – Coaching platform with integrated AI features
Google Workspace – Email and documents with AI-enhanced features
Zoom – Video conferencing with AI features
I use paid, professional, or enterprise versions of these tools where client information may be processed. These versions provide enhanced data protection and ensure your information is not used to train public AI models.
How I Protect Your Information
Data Anonymization
When using AI tools to create marketing content, develop frameworks, or generate resources, I anonymize all client-specific information before it is processed by AI systems. This means:
Names (yours, your company, colleagues) are removed or changed
Identifying details about your organization or situation are generalized
Specific circumstances are made composite or generic
The only exception is when you have provided explicit written consent for your information to be used (such as through our Case Study Consent Form).
Secure AI Platforms
I use paid/professional versions of AI tools that:
Do not use your data to train public AI models
Provide enhanced security and data protection measures
Comply with applicable privacy regulations
Are operated by reputable companies with strong privacy commitments
Confidentiality
All AI-assisted work adheres to the same confidentiality standards as outlined in our Professional Services Agreement. Using AI tools does not diminish my commitment to protecting your privacy and maintaining the confidentiality of our coaching relationship.
Human Oversight
All AI outputs receive human review and judgment. I am responsible for:
Verifying the accuracy and appropriateness of AI-generated content
Ensuring AI suggestions align with your goals and values
Maintaining the quality and integrity of our coaching work
Making final decisions about coaching approaches and recommendations
AI is a tool, not a decision-maker. My professional expertise, ethical judgment, and commitment to your success guide every aspect of our work together.
Your Choices and Control
Opting Out of Recording/Transcription
You may opt out of session recording and AI transcription at any time. If you choose to opt out:
I may take handwritten or typed notes during sessions
I may still use AI tools for session preparation and follow-up work based on my anonymized notes
This will not affect the quality of our coaching relationship
Limiting AI Use
If you prefer to limit AI use in other aspects of your coaching engagement:
You can request that I not use AI tools for analyzing your specific session notes
You can decline in-session AI collaboration
You can request that your anonymized information not be used for content creation
Please discuss your preferences with me, and I will work with you to find an approach that respects your comfort level while allowing me to serve you effectively.
Full AI Opt-Out
If you prefer that I not use any AI tools in connection with your coaching engagement, please let me know. While this may limit certain aspects of my coaching approach, I will work with you to find alternative methods that meet your needs.
Transparency and Questions
I am committed to transparency about my use of AI in coaching. If you have questions about:
How AI is being used in your specific engagement
What information has been processed by AI tools
How your data is being protected
Your options for limiting or opting out of AI use
Please contact me at info@pearlman.coach. I welcome open dialogue about AI and will work with you to ensure you feel comfortable and informed.
Evolving Standards
AI technology and best practices are rapidly evolving. I am committed to:
Staying informed about AI ethics, data protection, and industry best practices
Regularly reviewing and updating my AI tools and practices
Adjusting my approach based on emerging standards and client feedback
Being transparent about any significant changes to how I use AI
This AI Use Statement will be reviewed and updated periodically to reflect changes in my practice or technology.
